Linking and embedding (Windows)When you link to an object, the object's data exists in a source file outside your FileMaker Pro database. When information in the source file changes, you can have FileMaker Pro update the link. Updating a link ensures that you work with the most current information. FileMaker Pro opens the correct application when you update a linked OLE object. You can embed OLE objects on layouts or in container fields. When you embed an object in a container field, the object becomes part of your database. You can embed new objects that exist only in your FileMaker Pro file, or embed objects that exist in an external file. FileMaker Pro knows which application created the object (called the server application) and opens that application whenever you want to edit, play, or work with the object.
• know that the source file or server application might not be available. (Keep in mind that an embedded object is a copy and doesn't reflect changes made to the original.)
• want to share self-sufficient files in a workgroup setting (although your database remains self sufficient as its size increases, which can simplify tracking and updating of data).
• Because FileMaker Pro files can only receive OLE objects, you can copy a link from the application, but you can't link to an embedded object.
• To work with OLE objects in ways other than viewing them, you must have the applications that created the objects installed on your computer. Or, you must have applications that you can convert the OLE objects to.
• You can import OLE objects from container fields in other FileMaker Pro files, export OLE objects from container fields, or export a database that contains OLE objects to FileMaker Pro format. For more information, see Saving and sending records in Excel and PDF formats, Exporting the contents of a field, or Exporting data from FileMaker Pro.
